At 30 and 60 days, compare total subscription, usage, administration, integration, and review cost with the verified time and risk reduction. Remove duplicated tools and reduce scope when value is weak. Keep exports and configuration notes so the business can test product changes, recover from an outage, and switch vendors without losing operational knowledge.
Treat every expansion as a new decision. Access to another mailbox, customer field, financial record, or external action changes the risk profile and deserves its own cases, approval rule, monitoring, and rollback test. Prior success in a narrow task does not prove safety in a broader one.
When a result affects a customer, preserve the source and the action record long enough to investigate a complaint or correction. When it affects only an internal draft, minimize retention and delete unused test data. The purpose of evidence is accountable operation, not collecting information without a reason.
